Org. Setting and Reporting
This position is located in the English, Publishing and Library Section of the Conference Management Service, Division for Management, United Nations Office at Vienna, which comprises five units: Office of the Chief, Editorial Control Unit, Electronic Publishing Unit, English Translation and Text-processing Unit, and the United Nations Library at Vienna. The incumbent reports to the Chief of Section.
Responsibilities
Within delegated authority, the Language Service Assistant at this level is responsible for the following duties:
Performs independently and effectively the full range of office management and administrative support functions to the English, Publishing and Library section.
Initiates, processes and follows up on all actions related to the administration of the Section’s human resource activities, providing direct assistance to the Chief of Section and to the chiefs and supervisors of the respective units and coordinating with the Administrative Assistant of CMS, with regard to administrative arrangements for the recruitment of permanent and temporary staff and for promotion, relocation, performance appraisal and job classification procedures
Maintains section database of freelance staff, actively updating records by soliciting latest information from freelance translators, précis-writers and editors and organizing tests for first-time recruits
Administers staff selection procedures by arranging interviews of the candidates, inviting panel members and compiling files of background material for the use of panelists.
Maintains and monitors time and attendance records for all Section staff; prepares time and attendance reports, enters all data into DCPMS, including special assignments for productivity calculations, into DCPMS and IMIS and certifies correctness, liaising with staff to explain procedures.
Administers the traineeship and internship programme for translation/editing graduates, liaising with coordinators of university MA courses and with HRMS to ensure smooth implementation of practical arrangements.
Orders office equipment and supplies for the Section; performs low-value procurement (as Buyer) under the auspices of the Procurement Section, with responsibility for bidding and selection; prepares requisitions for high-value orders in IMIS and inspects them..
Maintains and updates the filing system, the Section’s group drive and administrative and personnel files, with access to personal and confidential information in the processing of administrative matters.
Backstops the Chief of EPLS in his/her activities as a member of the United Nations and inter-agency working groups; drafts routine correspondence and maintains files; prepares and distributes materials to all participants; collects and coordinates data to be presented at meetings.
Performs other functions as requested.

Education
High school diploma or equivalent. Must have passed the United Nations Administrative Support Assessment Test (ASAT) at Headquarters or an equivalent locally-administered test at UNOV (clerical test).
Work Experience
Seven years of experience in general office support or related area. Knowledge of database management in general and familiarity with the Integrated Management Information System (IMIS) and iDCPMS production management system in use at UNOV are desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage. German is an asset.
Assessment Method
Candidate will undergo a written test and a competency-based interview.
